Direct mail for healthcare & medical
Healthcare direct mail: new patient outreach, recalls and Medicare campaigns
Direct mail for medical practices, urgent care, physical therapy, chiropractic, med spas, hearing and vision centers and health plans: new patient postcards, EDDM around the clinic, recall letters and Medicare enrollment mail.
Healthcare mail has to do two things at once: reach the right households within the service area, and handle the data carefully. We do both. New patient and service-line postcards go to households selected by age, family and distance; recalls and reminders go from your system with the personal fields printed per piece; and we work under a business associate agreement for any mailing that uses patient information.
Urgent care, physical therapy, chiropractic, med spas, dermatology, hearing and vision centers, dental specialists and Medicare Advantage plans all mail on programs that repeat through the year, and EDDM covers the routes around each clinic at the lowest postage.
What healthcare & medical businesses mail
- New patient and "now accepting patients" postcards by household type
- EDDM saturation around each clinic location
- Recall, screening and follow-up letters from the practice system
- Medicare Annual Enrollment (Oct 15 – Dec 7) postcards and letters
- Seasonal campaigns: flu, allergy, sports physicals, back-to-school
- Med spa and elective service self-mailers to higher-income households
Privacy and HIPAA in practice
Mail that uses patient data (recalls, results, reminders) is produced under a business associate agreement, the data is encrypted in transit and at rest, access is limited to the production staff on the job, and files are deleted after the mailing. Content that reveals a condition goes in a sealed envelope, never on a postcard. Marketing mail to prospects uses purchased consumer data and never patient data.
Medicare season
The Medicare Annual Enrollment Period runs October 15 to December 7, and mail to the 65-and-over audience is heaviest in September and October. Lists select on age, and the pieces, whether postcards inviting people to a seminar or letters with plan details, need CMS-compliant language, which your compliance team approves before we print. We hold production slots for AEP because every plan and agency mails in the same six weeks.
What works for clinics
New clinic openings: EDDM to every route within a few miles, twice, plus new movers weekly after that. Service lines: targeted cards by age and household, such as sports physicals to families in July, hearing tests to over-60 households, physical therapy after a partnership with an orthopedic group. Recalls: letters from the system, mailed within two days, which is where automation pays.

Answers
Healthcare & Medical direct mail questions
Is your direct mail service HIPAA compliant?
Yes. Mailings that use patient data are produced under a business associate agreement, with encrypted transfer, restricted access and deletion after the job. Content that could reveal a condition is mailed in a sealed envelope rather than on a postcard.
Can you mail Medicare Advantage campaigns?
Yes. We mail postcards and letters for plans, agencies and brokers for the Annual Enrollment Period, with lists selected by age and geography, and print only content your compliance team has approved as CMS-compliant.
How much does medical direct mail cost?
A 6×9 new patient postcard costs about $0.58 per piece printed and mailed as Marketing Mail at 5,000 pieces; a recall letter in a #10 window envelope about $0.73 per piece; EDDM around a clinic about $0.40 per piece. Lists selected by age or household add about $0.08 per record.
